Hostel attendance and leave: what a boarding school office should record
A boarding school answers for its students around the clock. These are the registers a hostel office should keep, and the one list that matters most.

When children live at school, the school answers for them at three in the morning as much as at three in the afternoon. A hostel office does not need many registers. It needs the right ones, kept the same way every day.
Roll calls, taken at fixed times
Decide the slots, for example morning, evening and lights-out, and assign who takes each. A named person for each slot is the difference between a roll call and an assumption. The register should show who was absent, who was on leave and who was not accounted for.
Rounds
A round log records that someone walked the floors and when. It protects students and it protects staff. Keep it simple: time, person, notes.
A leave register that closes the loop
Every leave should have a start, an expected return and an approval. Every return should be recorded. A leave that is opened and never closed is the thing that turns into a late-night phone call.
The not-returned list
This is the most useful list in the hostel: students who left on leave or out-pass and have not come back. If it is one click away every evening, nobody finds out the next morning. This is why hostel software is worth having even for a small hostel.
Rooms and mess
Keep a current list of who is in which room, and who is allocated to which mess. It sounds basic and it saves time during fire drills, room inspections and meal planning.
Fees and refunds
Hostel fees and refunds should sit in the same account as tuition so parents see one statement. Refunds, especially, need a record of who approved them.
Connecting hostel to the school day
An approved out-pass should mark the student for the day in the school attendance. See gate pass and visitor management for how that works. For boarding schools in particular, we describe the full set in our boarding school solution.
