How to choose school ERP software without regretting it in six months

Most school ERP regret comes from five avoidable mistakes. Here is how to run a demo that shows you the truth, and what to ask before you pay.

Almost every school that has bought an ERP has a story about one that did not work out. The software was fine. What went wrong was how it was chosen. Here is what we have seen go wrong, and how to avoid it.

Start with the jobs, not the feature list

Write down the five things that cost your office the most time each week. For most schools it is some mix of fee follow-up, attendance, exam planning, parent calls and report cards. Judge every product on those five jobs, shown live, with your data. A long feature list tells you nothing about whether the accountant will enjoy using it.

Ask for the demo on your own fee structure

Any product looks good with ten sample students. Give the vendor your fee heads, your class list and one awkward case, such as a sibling discount or a mid-year admission, and watch how long it takes. If they cannot set it up in the demo, they will not set it up quickly for you later either.

Check the language your staff actually works in

If your office works in Hindi, the software should too, in the labels staff read all day, not just in a parent app. Ask to see the screen in Hindi. Also ask what happens to the parts that are not translated.

Ask what happens on a bad network

Teachers mark attendance in classrooms where the signal comes and goes. Ask whether the app works offline and how it syncs. This one question removes a lot of vendors.

Find out how your data comes in and goes out

You probably have years of data in Excel. Ask who loads it, how long that takes and what is checked. Then ask the reverse: can you export your own data if you leave? A vendor who is unwilling to answer has told you something.

Count the people who need access

A principal, an accountant, a front desk, twenty teachers, a warden. Each needs a different view, and you do not want the front desk editing marks. Look for role-based permissions and an audit trail that shows who changed what.

Compare cost on the whole picture

Ask for the price in writing with GST shown, what is one-time and what is monthly, what is included in each plan and what costs extra. Be wary of a low headline price with expensive add-ons.

Use a checklist and score every vendor the same way

We keep a free 40-question buyer’s checklist for exactly this. Tick what each vendor shows you live and compare the scores. If you want to see how ThinkEduAI answers, book a demo and bring the list. We will tell you plainly which items are a no.
