Pending school fees: how to stop chasing parents every month

Most pending fees are not unpaid on purpose. They are forgotten, disputed or hard to pay. Seven practical steps that bring them in without awkward calls.

If your accountant spends the first week of every month phoning parents, the problem is rarely that parents refuse to pay. Most pending fees are forgotten, misunderstood or inconvenient to pay. Fix those three and the pile shrinks.

1. Make the due date impossible to miss

Send a reminder before the due date, not only after it. A message that says the amount, the date and how to pay gets more action than a general notice on the board. Automated fee reminders do this without anyone remembering to.

2. Make it easy to pay

If a parent has to take a day off to stand in a queue, the fee waits. Offer an online payment link next to the counter. Payment links through Razorpay mean a parent can pay from the phone, and the receipt reaches them straight away.

3. Keep the fee structure simple and in writing

Many disputes begin with “I thought it was less”. Publish the fee heads and amounts for each class at admission, and keep waivers and discounts on the student’s record with the reason. When the number is questioned, the record answers.

4. Look at the unpaid list by class, weekly

A list of everyone who owes money is overwhelming. The same list by class is manageable, and class teachers can nudge parents they already know. Share the class view with them.

5. Separate forgetful from struggling

Parents who forgot need a reminder. Parents who are struggling need a conversation and sometimes an instalment plan. Treating both the same wastes time and damages goodwill. Mark which is which as you follow up.

6. Tie sensitive documents to dues carefully

Some schools hold admit cards until dues are cleared. If you do this, decide the rule in advance and apply it equally, so nobody feels singled out. ThinkEduAI has an optional dues check on admit cards for schools that want it.

7. Reconcile every day

Match online payments and counter receipts daily. Errors found the same day take a minute to fix. Errors found at month end take hours and annoy parents who were charged twice.
